In this document, we provide information in accordance with Articles 13 and 14 of the General Data Protection Regulation (GDPR) about the details of this processing.

Management of Login Data

To use the loyalty program, which is developed and provided by INCERT eTourismus GmbH & Co KG, a user ID (email address) and a password (or a cryptographic hash of the password) are required. Processing of this data is necessary for the execution of the agreement to participate in the loyalty program (Art. 6 (1) b GDPR). Processing will continue until the agreement ends. Data will not be retained longer than necessary to fulfill contractual or legal obligations or to defend against potential liability claims.

Management of “Trees” and Club Levels

“Trees” refer to the bonus points earned through the loyalty program, which can be redeemed for various services. For this, the processing of data related to stays, personal information, and the redemption of “trees” (bonus points) is required to fulfill the agreement to participate (Art. 6 (1) b GDPR). The purpose of processing is to manage the trees/bonus points. Trees/bonus points expire five years after they are earned and are deleted from the associated user account.

Members of the My Forsthofgut Club are categorized into different club levels, which offer tiered benefits for stays at the Naturhotel Forsthofgut. This requires processing data related to stays and personal information. The purpose of this processing is to assign members to a club level within the My Forsthofgut Club. For this categorization, data from stays within the last two years is used, and data older than two years will no longer be considered.

Sending Invitations to Friends

If a member wishes to invite friends to participate in the loyalty program, an email invitation can be sent to the friends through the system. The inviting member is contractually obligated to obtain the friends' consent beforehand. Processing in this case is based on Art. 6 (1) a GDPR. This consent applies only to the sending of the invitation email. Consent is voluntary, and if not granted, the inviting member may share the invitation information themselves via email or other communication channels.
